To operate accounts and provide our features, we may process:

• Audio, video, and media links that you upload or import
• Project titles, subtitles, translations, summaries, and exported files
• Subscription, purchase, payment status, allowance, and usage records
• Technical records needed for login, security, troubleshooting, and service operation
• Information you voluntarily send to customer support
• Page visit, device, and usage information produced by analytics tools such as Google Analytics

Payment Information

Payment is handled by payment service providers. SubtitleBro does not store your full card number.

How We Use Information

We use relevant information to:

• Create and protect accounts
• Store and process media to generate subtitles, translations, and summaries
• Provide editing, playback, sharing, downloading, and export features
• Manage subscriptions, purchases, allowances, and refunds
• Send verification codes, payment notices, and necessary service notices
• Understand website usage and improve the service
• Troubleshoot, prevent abuse, and comply with applicable legal obligations

Automated Processing and Model Training

Submitted content is processed by automated systems. We do not pre-screen user submissions or routinely monitor them manually. We may access content when you contact support, handle a security incident, or comply with a legal obligation, and only to the extent necessary.

We do not use users’ private conversations, media, subtitles, or project text to train our own models. Providers used for AI text processing do not use the relevant content to train their models. Speech-processing providers do not retain submitted audio after processing is complete.

Service Providers and International Processing

We may use providers for:

• Website and database hosting
• Cloud storage and media delivery
• Audio and video transcription
• Translation and AI summaries
• Sign-in and email delivery
• Payment and subscription management
• Website analytics and troubleshooting

International Processing

Depending on the feature you use, relevant providers may receive the media, text, account, or transaction information needed to provide that feature.

Some processors are located in the United States, and cloud storage and other infrastructure may be distributed across different regions. Cross-border processing uses appropriate data-protection measures required by applicable law.

We may also disclose information when required by law or reasonably necessary to address fraud, security incidents, or unlawful activity.

Sharing Features

Projects are private by default.

If you create a text-sharing link, anyone with a valid link can read the complete text in that shared project, including original text, translations, timestamps, and speaker labels when present.

A sharing link does not include media files, media download addresses, AI summaries, or editing access.

You can close or revoke a sharing link at any time. After revocation, the link cannot be accessed, but we cannot remove copies that recipients have already saved.

Retention, Deletion, and Project Periods

Free projects are retained for 30 days.

For paid users, projects are generally retained while the subscription is active. When a paid cycle ends and the account becomes Free, projects continue under the Free retention rule for 30 days.

After an account becomes Free, saved transcripts and project content remain accessible during the retention period. If storage usage exceeds the Free limit, new uploads may be blocked until usage is within the limit.

When the Free retention period ends, the entire project enters the deletion process, including its media, subtitles, translations, summaries, and text-sharing links.

When you delete a project or media, the media immediately stops being accessible and enters the deletion process. It is normally removed from primary cloud storage within several minutes, although queues, network conditions, or system failures may delay individual deletions.

Different data categories may have different retention periods. Payment, allowance, security, dispute-resolution, and necessary operational records may be retained for the period needed for those purposes and as required by law.

We do not promise permanent storage. Please back up important files.

Cookies and Analytics

We use cookies or similar storage technologies needed for sign-in, security, and necessary service functions.

When enabled, Google Analytics 4 loads directly when you visit our public marketing and SEO pages to help us understand visits and improve our content. Google may use analytics cookies and process device, browser, public page path, language, approximate location, and usage data.

We do not send email addresses, user IDs, project IDs, subtitle content, or media URLs to Google Analytics. Google Signals and advertising personalization are controlled in the Google Analytics property and may be enabled later for remarketing.

Your Rights

Depending on where you live, you may have the right to:

• Access personal information
• Correct inaccurate information
• Delete personal information
• Receive a copy of personal information
• Object to or restrict certain processing activities
• Withdraw consent where permitted by law
